Our Transcriptionists and Quality Analysts are well-trained, proficient and knowledgeable as required by the American Association of Medical Transcription (AAMT) guidelines. Our records management team is comprised of medical personnel including doctors, dentists, pharmacists and physical therapists. They listen to the voice recordings of the doctors or other health care professionals and transcribe the voice files to text files in the required templates and check for spelling and grammatical errors.
The completed transcripts undergo 2 levels of Quality Control Audits – Quality Analysts review 100% of the reports and check for spelling, grammatical errors, context errors and ensure client specifications.
The transcripts are then delivered in any word processing format either through email or directly upload it to your server or EMR system so that your staff can download it. This is performed by 128 SSL bit encryption for complete patient & provider confidentiality.

The price for transcription services depends on a number of factors, which include level of customization required, complexity of editing and formatting, use of templates, and volume of work. The price for our services is based on the line count of the final report rather than the line count for of template text used in these reports. Sometimes, we compile the report from other typed documents. In that situation, we exclude the line count for inserted text from the billable line count.
Line counting by Altos is calculated by using an automated tool that works like the Word Count tool in Microsoft Word, then dividing the number of characters by 60. This way, we get the Line Count for the report.
It is any typed letter, number, space, punctuation mark, apostrophe, quote, etc. Characters that you cannot really see (like spaces or carriage returns) are represented internally in the text document and are counted. Multiple spaces are counted as single spaces.
In a document there are soft returns and hard returns. A soft return is a new line that exists as the result of word-wrapping. These are “virtual” and only appear as a function of the word processor (they do not really exist) and thus they do not affect line count.
Hard returns are the result of the user pressing the enter key. Typically, the only hard returns are found between paragraphs and usually at that point there are two consecutive hard returns.
Hard returns count as one character. So basically the space between two paragraphs in a given document will count as two characters.
We often use graphics to insert the client logo in the report. In EMG reports we insert the images of wave graph. Graphics in the word document does not affect the line count. Also, the header and footer are setup to repeat themselves on all pages. Therefore, each header and footer is counted only once.

From Digital Recorder: Olympus Digital recorders are the easiest option for creating and sending dictations. Altos provides free setup of Olympus software on your PC.
Toll free Dictation: Doctors are provided with a toll free number for dictation which can be accessed from a cellular phone or land line. Once the dictation is completed, it is sent directly to our secure FTP server.

By FTP (HIPAA compliant): If you upload work to us through ftp, we upload the reports to you through ftp for you to download. They are stored in an ftp server for up to 6 months.
By Email (not HIPAA compliant): If you email work to us, we attach the finished reports as Word documents to the email and send them only to the person(s) designated to receive reports. We do not release reports to anyone other than our contracted clients.
